Job Title : PHARMACY STOREKEEPER
Work Location : Galkayo- South - MUDUG - SOMALIA
Start date : As soon as possible
Length of contract : Fixed term (1year) 100% with 3 months’ probation period.
Main Purpose: Execute GAS central pharmacy storing activities in order to keep pharmacy stock above security level and following recommended conditions (temperature, humidity, etc.) under the supervision of the Pharmacy supervisor, and in collaboration with the medical activity Manager in Galkayo-South
Ensure the proper management of medicines and medical supplies at project level by carrying out stock reception, storage, documentation, distribution, and monitoring activities, in accordance with approved medical supply systems, protocols, and guidelines, in order to guarantee continuous availability, quality, safety, and accountability of medical items supporting quality patient care.
Accountabilities
Supervise medical orders and dispatching in order to ensure rational use:
Prepare the monthly stock request and share it with Pharmacy supervisor- Galkayo-North
Receive orders and deliveries from the warehouse/GAN Central pharmacy, identifying potential disparities against cargo manifest or others and reporting to medical activity Manager in Galkayo- South and Pharmacy Supervisor in Galkayo-North
Ensure correct fill in entries on the stock cards and software.
Ensure the monthly inventory is completed and shared with GAN Pharmacy Supervisor, Mission Pharma and Medical activity Manager.
Prepare orders of the different consumption units (departments, wards, other), ensuring the packaging and proper dispatching.
Reporting any anomalies or changes in consumption patterns to the Pharma Supervisor in GalkayoNorth, Medical activity Manager in Galkayo- South.
Report missing material/ damage/ robbery.
Ensure correct reception, verification, storage, and documentation of all medicines and medical supplies
Maintain accurate stock management tools and records
Ensure proper distribution of medical items to departments according to approved requests
Support accurate medical consumption data collection and reporting
Ensure compliance with safety, quality, and ethical standards in medical stock management Ensure GSDP (good storage and distribution practices) are respected in the pharmacy following MSF standards, including:
Control Pharmacy limited access to authorized personnel and ensure doors and other exists are secured.
Ensures good storage conditions of all items in the pharmacy.
Monitor temperature & humidity in the pharmacy and ensure that products requiring cold chain are suitably stored and transports received and prepared appropriately according to MSF standards and Cold Chain protocols.
Ensure cleanliness of premises (stock pharmacy).
Ensure that expired drugs/quarantined drugs are managed in accordance with MSF standards.
Ensure that controlled drugs are managed in compliance with MSF standards.
EXTERNAL VACANCY
Other tasks include, but are not limited to
General Knowledge of MSF and Safety at Work

Ensure compliance with health and safety rules related to storage, handling, and distribution of medical supplies
Maintain cleanliness, hygiene, order, and safety of the medical store
Ensure that no medical items are accessed or removed without authorization
Medical Stock Management
Receive, verify, and document all incoming medicines and medical supplies against delivery notes and packing lists
Ensure appropriate storage conditions for all medical items (temperature, humidity, light, security)
Organize medicines and medical supplies using proper labeling, shelving, and classification systems
Apply stock rotation principles (FIFO / FEFO) to prevent expiry and wastage
Monitor expiry dates, damaged items, and quarantined stock and report accordingly
Ensure secure storage and controlled access for narcotics and psychotropic medicines
Stock Control and Documentation
Maintain accurate and up-to-date stock cards for all medicines and medical supplies
Record all stock movements (IN / OUT) using standard units of distribution
Ensure all stock management documents and registers are properly completed, filed, and archived
Conduct regular physical inventories and reconcile discrepancies
Prepare and submit stock reports (weekly, monthly, or as requested)
Immediately report any stock discrepancies, losses, damages, or risks of stock rupture
Distribution and Supply Management
Prepare and issue medical supplies to wards and departments according to approved requests
Ensure that departments receive only authorized items listed in their Medical Standard List (MSL)
Ensure traceability of all distributed medical items
Support emergency and urgent requests according to established procedures
Ensure no medical supplies leave the store without proper documentation and authorization
Consumption Data and Reporting
Support the collection and compilation of daily, weekly, and monthly medical consumption data
Ensure correct use of consumption, tally, and request forms
Assist pharmacy and medical teams in monitoring consumption trends and identifying abnormal usage
Contribute to accurate forecasting and prevention of stock ruptures through reliable consumption data
Share relevant consumption information with supervisors and medical teams
Follows up stock levels with regards to alarms thresholds, stock out, expiry dates and drugs to expire in the following 6 months.
Make a report and share with Pharmacy Supervisor - GAN
Cooperating with and assisting the Central Pharmacy Supervisor in all related monthly reports, and under the Central Pharmacy Supervisor communicating and providing medical data to relevant MSF team members.
Report any quality complaint to Medical Activity Manager and Pharmacy supervisor in Galkayo- North.
Collect of consumption data from departments in GAS and ensure sharing consumptions with Pharmacy supervisor in Galkayo- North and medical activity Manager- Galkayo- South on weekly/monthly basis.
Communication and Coordination
Work in close collaboration with pharmacy, medical, logistics, and supply teams
Communicate stock status, shortages, overstock risks, and expiry alerts in a timely manner
Participate in meetings related to pharmacy and supply management when requested
Support supervisory visits, audits, and evaluations
Equipment and Inventory
Ensure inventories of all medical supplies and equipment are properly updated
Assist during internal and external audits
Maintain orderly archiving of pharmacy and store documentation
Additional Tasks
Support emergency responses and urgent medical supply needs when required
Be flexible and provide assistance with activities not explicitly listed but related to medical store and supply management
Any additional assigned from the Medical activity Manager – Galkayo-South
Essential, diploma/degree in pharmacy or Medical related studies.
Experience
Essential previous experience of at least 2 years in similar or relevant positions.
Desirable previous experience in MSF or other NGOs
Languages
Good command of English and Somali
Knowledge
