Job Description

SOS Children’s Villages invites applications from suitably qualified and interested candidates who fulfill the eligibility criterion for the below one Position.

Position:                   HR Assistant (2)

Reports to:               HR Officer

Duty station:            Mogadishu/Heliwa         

Job summary:

The HR Assistant provides quality HR compliance and administrative support to The HR Team and co-worker. The HR Assistant is responsible for maintaining personnel files, delivering effective HR result. Assist the Human Resources department in ensuring the delivery of quality, efficient and proactive HR support services to the Somalia Program.

Job responsibilities:

  • Support recruitment exercises by setting and organizing interviews appointments, interview folders, and sending, calling candidates and out regret letters.
  • Prepare in coordination with hiring managers a 2 days induction schedules prior to the starting date of the new staff, share it and do office introduction on the start date.
  • Preparing employment contracts and signing the candidates.
  • Closely working with HR Officer on matters in HR
  • Collaborate with the ICT department for the creation of official emails for new joiners and the deactivation of the leaver's official emails.
  • Collaborate with the Admin and Logistics department for the new joiner's ID card processing.
  • Develop a comprehensive filing system that ensures conformity with the SOS filing system.
  • Maintain and ensure safe keeping of personal files and confidential records of employees including pay, leave, certificates, performance management, medical records, exit interviews.
  • Provides support to the HR Officer in preparation of various departmental reports
  • Support staff leave management, prepare monthly report.
  • Assistance with quality control: Daily checking all missing recruitment documents in professional history/reference checks and etc.
  • Facilitation signing documents from field office.
  • Preparing and make ready for Audit documents
  • Facilitate advertisement payment
  • Filling time sheets.
  • Do HR printings and scanning
  • Update HIRS system information and do track any action require attention.
  • service and communication about staff complain.
  • Reviewing and verification of Quotation and invoice.
  • Process invoice to finance.
  • follow up bills for payment process,
  • Perform any other duties requested National HR Manager/Senior Officer/officer

Experiences and Qualifications

  • Minimum Diploma of qualification in Human Resource, Public Administration and Business Administration from a recognized university.
  • At least one year’s relevant experience in HR within a busy international organization
  • Computer skills especially in Ms Excel, spread sheets, Ms Word.
  • High level of integrity and ability to work as part of a professional team
  • Ability and willingness to work under high pressure to meet tight deadlines
  • Good communication and interpersonal skills
  • Supportive personnel management style
  • Good command of English both written and spoken
  • Willingness to work in odd hours, go extra mile and travel in often difficult and insecure environments.
