Job Description

TITLE:  Program Assistant- Commodity Tracking Nutrition

LOCATION: Adado, Galmudug

 

CONTRACT LENGTH: 6 Months

 

CHILD SAFEGUARDING:

 

Level 3:  the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

 

ROLE PURPOSE:

 

Working under the mentorship and supervision of the Nutrition Officer, the program assistant will directly be responsible to handle the receipt, storage, dispatch, distribution monitoring, documentation, accounting and reporting of commodities (Food and NFI) for the nutrition program. In liaison with the nutrition officers take lead in commodity management for all the nutrition program commodities, nutrition surveillance, nutrition education & counselling and promotion of maternal infant and young child nutrition in Galmudug state, Somalia.

 

SCOPE OF ROLE:

 

Reports to:  Nutrition Officer.

 

Staff reporting to this post: None.

 

Role Dimensions:

Save the Children operates across all zones in Somalia and currently has three main area offices and additional 11 field offices. Programmatically Somalia is a large Country Office with more than $110million annual budget and staff over 700 staff.

 

KEY AREAS OF ACCOUNTABILITY:

 

Warehouse and Stocks Management

The position holder covers the following:

ü  Ensure medical warehouse procedures comply with always save the children’s medical warehousing standards.

ü  Ensure the maintenance and cleaning of the warehouse premises on a regular basis. Ensuring a well-lit, clean, dry environment, with a required temperature and humidity and easy access to all medical supplies.

ü  Organize the advance preparation of outgoing deliveries for health facilities, field offices and/or other destinations to be ready for shipment at the required time.

ü  Assign storage locations for all goods received and ensure that they are handled as per Save the Children procedures of safety, security, accountability, and transparency.

ü  Ensure that all store transaction paper works are kept files as per SC filing system.

ü  Issue/distribute materials, products, parts, and supplies to field staff, based on Save the Children standard requisition procedures.

ü  Ensure the stores are kept in a good reparative order, are kept locked and are clean and tidy.

ü  Ensure that the TIM system is up to date as always.

ü  Track all commodities from point of origin to destination, counting all commodities received and comparing counts to waybills and other legal documents.

ü  Ability to prepare timely, concise food requests (SFP, OTP, and BSFP) and CP reports in line with donor format.

ü  Ensure file claims for loss or damages, detailing such losses and verifying their disposal according to the procedures or expectations of the donor and IRC management.

ü  Ensure accurate management of all food distribution points (FDP) in the project sites and nutrition programming to ensure safe, orderly, clean, and vermin-free storage.

ü  Ensure inventory control is maintained and conduct at least biweekly physical inventories to ensure that losses are controlled in storage.

ü  Ensure that distribution plans are prepared to ensure the timely delivery of the required commodities at each distribution site.

ü  Ensure complete lists of all program beneficiaries, including types, quantities and dates of entitlements received and reconciled with original consignments are accurately maintained.

ü  Ensure that distributions have occurred in accordance with the intentions of the donor and save the children process and procedures.

ü  Produce required weekly, biweekly, monthly commodity reports for submission to Nutrition officer and being available to prepare additional reports as requested by the Deputy program manager-Nutrition.

Experiences and Qualifications

QUALIFICATIONS:

  • Minimum bachelor’s degree in nutrition/ pharmacy/medical logistics/ supply chain or other relevant disciplines.
  • Academic background in fields related to pharmacy/Medical/ Nutrition logistics is an added advantage.

EXPERIENCE AND SKILLS:

  • Minimum of 2 years’ experience directly related to a Nutrition/ pharmacy/ medical and nutrition warehouse/ general storekeeping techniques, including basic administration, preferably in a humanitarian/ developmental context.
  • Medical and Nutrition warehousing background and or proven experience and understanding of essential drugs in Somalia.
  • Proficiency in using computer applications.
  • Good written and spoken English and Somali languages.
