Job Title : SUPPLY ACTIVITY OFFICER
Work Location : MUDUG – Galcayo North -SOMALIA
Start date : As soon as possible
Length of contract : Fixed term (1year) 100% with 3 months’ probation period.
Main Purpose: Performing the day-to-day implementation of supply & Warehouse procedures and ensuring efficient
administrative processes for one or more areas of the supply programs (Receptions, Stock counts, Transport and Customs, etc.)
at project level according to MSF protocols, standards and procedures in order to ensure the optimal running of the mission.
Accountabilities
Performing the day to day activities ensuring an efficient running of the administration processes of the Warehouse activities following
the warehouse, stock and good distribution procedures according to MSF standards and protocols. The activities can include one or
more of the following areas :
• Reception: Performing the reception controll from suppliers, including dispatch to end user departments at project level)
• Stock counts: Performing the periodic and schedules stock & inventory count activities at project level
• Transport and Customs : Performing the day to day procedures and administrative processes for the clearance and transportation
of goods at project level ensuring an efficient shipment of goods.
Performing and coordinating administrative procedures related to his/her supply/warehouse activity(ies), verifying the compliance to
MSF procedures, standards and protocols
Ensuring that all necessary tools and management procedures are followed to avoid stock ruptures, losses and excess stocks in the
mission
Performing delegated tasks according to his / her activity(ies) and as specified in his/her job description
MSF Section/Context Specific Accountabilities
1. Procurement & Management
Support the Supply Chain Officer in the daily management of warehouse activities, ensuring compliance with MSF
standards, protocols, and procedures.
Identify, negotiate, and maintain relationships with suppliers and vendors to guarantee cost efficiency and
adherence to quality standards.
Create purchase orders utilizing FU, monitor delivery schedules, and ensure compliance with MSF procurement
procedures
2. Inventory & Warehouse Management
Ensure compliance with MSF standard storage procedures for medical and logistics materials within the
warehouses.
Keep inventory records updated in the UF or the inventory management system.
Monitor storage conditions and temperatures to prevent damage to stock and ensure product quality.
Conduct regular inventory checks (physical counts) and maintain accurate stock records in Unifield.
Coordinate and monitor cold chain activities, ensuring cold chain checklists are completed and updated in Mudug
Regional Hospital, Galkayo North.
Maintain warehouse cleanliness and hygiene standards through regular cleaning and monitoring.
Manage the receipt, storage, and dispatch of goods in accordance with MSF procedures.
EXTERNAL/INTERNAL VACANCY
3. Logistics & Distribution
Oversee the transportation and distribution of goods to guarantee on-time delivery while utilizing the FEFO
method.
Manage customs clearance and import/export documentation for international shipments in collaboration with the
Nairobi coordination office.
Support the management of contingency stock by monitoring product rotation and identifying expired or nearexpiry items.
Oversee the security of consumable materials and food stores in Galkayo North, ensuring that only authorized
personnel have access.
Ensure all items are properly organized, identified, stored according to their specifications, and easily accessible.
4. Planning & Coordination
Support in demand and supply planning to synchronize production and inventory with customer requirements.
Assist with the preparation and encoding of monthly Central Pharmacy supplies in Unifield.
Ensure stock cards are updated and reconciled with Unifield records at all times.
5. Reporting
Coordinate with the Supply chain officer to ensure the monthly supply report is completed.
Keep UF and MSR information accurate and current
Act as a backup for the Supply Chain Officer during his/her absence.
Requirements
Education • Diploma/Degree in Supply Chain Management, Logistics, Business Administration.
• Desirable Diploma/Degree in economic or commerce related studies
Experience • At least 3 years' experience in supply chain related jobs or in the logistics department
• Desirable proven understanding of MSF Field Logistics
• Desirable Proven understanding and practical experience in using the MSF Unifield supply management
system.
Languages • Essential mission language and local language desirable
Knowledge • Essential computer literacy- Desirable (word, excel, PoWER POINT, OUTLOOK and Internet)
