Duty Station Mogadishu, Somalia

Reporting Directly To  Senior Operations Officer

Remuneration Negotiable

Line manages Security Guards& Domestic staff

Duration 1 year

  1. Organizational Context and Scope

YouthLink Somalia is a national humanitarian organisation. YouthLink works to enable the poor and vulnerable communities to improve livelihoods and build their resilience through long-term development and saving programmes including health and nutrition services. To respond to needs of the droughts affected displace populations. This means All staff may be requested to support a humanitarian response as the need arises.

Job Summary:

The Operations Assistant helps the Operations Officer with daily tasks for the YouthLink programme. This includes supporting supply chain management, HR and administration, and safety management to ensure we deliver good services to those we help. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Main Duties & Responsibilities:

Supply Chain Support:

  • Assist in the procurement process by preparing purchase requests and tracking orders as per the Procurement Policy.
  • Help maintain accurate records of procurement packages, asset management forms, fleet management forms, and warehousing documents.
  • Follow up with suppliers regarding delivery schedules and coordinate logistics for the transportation of goods.
  • Support the maintenance of inventory records and assist in tracking goods received and dispatched through the Warehouse Tracker.
  • Assist in updating and maintaining the Supplier Database and Procurement Tracker.
  • Help manage asset issuance to staff and maintain the Asset Register.

HR & Administration:

  • Support day-to-day administrative functions, including organizing office supplies and equipment.
  • Assist in scheduling and coordinating meetings and workshops for the programme.
  • Support the maintenance of office furniture and equipment, coordinating repairs as necessary.
  • Ensure a clean and hygienic office environment is upheld.
  • Assist in the recruitment process by preparing advertisements, scheduling interviews, and managing induction for new staff as needed.
  • Maintain up-to-date personnel files, including HR records, leave registers, and staff lists.
  • Ensuring office lease agreement and contract for utilities are drawn up or renewed in a timely manner 

Safety Management:

  • Contribute to maintaining a secure and safe environment for all YouthLink staff and visitors.
  • Assist in monitoring security conditions and gathering relevant security information.
  • Support the implementation of safety protocols and procedures.

Experiences and Qualifications

  • Bachelor’s degree in business administration and previous preferred in operational role in an administrative or
  • Previous experience in operations support or a related role is an advantage.
  •  Excellent written and verbal communication skills. Also, Fluency in English and Somalia
  •  Superb organizational abilities and attention to detail.
  •  Outstanding interpersonal skills.

Flexibility and ability to carry out additional duties and tasks as required and adapt to a changing operational environment
