Job Description

  POSITION INFORMATION

Position Title: Finance Coordinator  

Duty Station: Mogadishu office with regular field visits to the programme locations (where applicable)

Organizational Unit: Operations

Reporting Directly To: Operations Manager  

Overall Supervision By: Operations Director

Managerial Responsibility: Finance officers and Assistants

Duration: Open ended Contract  

  1. ORGANIZATIONAL CONTEXT AND SCOPE

The Finance Coordinator will oversee the financial operations and ensure the financial health of the organization. This role is responsible for managing the finance team, including a Finance Officer and Finance Assistant, to maintain accurate financial records, prepare reports, and ensure compliance with financial policies and regulations. The Finance Coordinator will also play a key role in budgeting, financial planning, and analysis, as well as donor reporting.

  1. RESPONSIBILITIES AND ACCOUNTABILITIES

Main duties &  Responsibilities:

  • FinancialManagement:
  • Oversee and manage daily financial operations, including accounts payable, accounts receivable, payroll, and general ledger activities.
  • Ensure accurate and timely financial reporting and compliance with internal policies and regulatory requirements.
  • Coordinate the preparation of monthly, quarterly, and annual financial statements and reports.
  • TeamLeadership:
  • Supervise, mentor, and support the Finance Officer and Finance Assistant.
  • Assign tasks, set performance goals, and conduct regular performance evaluations.
  • Provide training and development opportunities to enhance the skills and capabilities of the finance team.
  • Budgeting and Planning:
  • Assist in the development and management of the annual budget, including forecasting and variance analysis.
  • Monitor budget performance and provide regular updates to senior management.
  • Collaborate with department heads to prepare and review departmental budgets.
  • Financial Analysis:
  • Conduct financial analysis to identify trends, variances, and opportunities for cost savings and revenue enhancement.
  • Prepare financial forecasts and projections to support strategic planning and decision-making.
  • Provide financial insights and recommendations to senior management.
  • Internal Controls and Compliance:
  • Ensure effective internal controls are in place to safeguard the organization’s assets and ensure financial integrity.
  • Coordinate internal and external audits and implement audit recommendations.
  • Ensure compliance with local, state, and federal financial regulations and reporting requirements.
  • Policy Development:
  • Develop, review, and update financial policies and procedures to ensure consistency and compliance.
  • Communicate and enforce financial policies and procedures across the organization.
  • Donor Reporting:
  • Prepare and submit accurate and timely financial reports to donors, ensuring compliance with donor requirements and guidelines.
  • Maintain comprehensive records of donor funds and transactions.
  • Liaise with program teams to ensure alignment between financial reports and program activities.
  • Stakeholder Engagement:
  • Serve as a liaison with external stakeholders, including auditors, banks, and regulatory agencies.
  • Respond to financial inquiries from management, donors, and other stakeholders in a timely and accurate manner.

Experiences and Qualifications

Required Experiences and Qualifications:

 

  • Master’s degree in finance, Accounting, or a related field or professional certification (e.g., CPA, CMA) is preferred.
  • Minimum of 5 years of experience in financial management at NGOs, with at least 2 years in a supervisory role.
  • Experience with SHF (Somalia Humanitarian Fund) and WFP (World Food Programme) donors is highly desirable.
  • Strong knowledge of accounting principles, financial reporting, and budgeting.
  • Proficiency in financial management software and Microsoft Office Suite, particularly Excel.
  • Excellent analytical, organizational, and problem-solving skills.
  • Strong leadership and team management abilities.
  • Excellent communication and interpersonal skills.
  • High level of integrity and attention to detail.
