INTRODUCTION

RAAGSAN is a female led social enterprise providing strategic and analytical consulting services across the region. Our work spans policy down to grass-roots levels. We value both an intimate and accurate understanding of people being served by humanitarian and development investments in the region as well as the policy and program design of investments intended to assist those populations. Our aim is to connect communities and policymakers by working through a network of young and middle-aged professionals based across the region supported by senior consultants with strong post-conflict environment experience.

RAAGSAN works in fragile and conflict-affected states to develop and strengthen policies and systems that focus Public Social Service Delivery, Disaster Risk Resilience and Climate Change Adaptation. We also provide independent M&E services for National and International Organizations to measure the real-time performance of their projects, evaluate results and impact, and inform strategic future programming. Our operations have served a wide range of clients from the government, UN agencies, NGOs, and private companies.

  1. PURPOSE

The Administrative Intern will play a crucial role in supporting Raagsan Consulting by providing comprehensive administrative, financial, and operational assistance for effective project management and smooth organizational functioning.

  1. KEY RESPONSIBILITIES

The Administrative Intern will be responsible for the following:

  1. Administrative support
  • Providing administrative support to different projects, including documentation, correspondence, and file management.
  • Managing Raagsan's equipment and supplies inventory.
  • Coordinating travel arrangements for all projects.
  • Assisting in contracting processes, including drafting, reviewing, and coordinating agreements with clients, subcontractors, and partners.
  • Supporting the management of Raagsan's calendar and scheduling meetings and appointments.
  • Assisting in client management, maintaining positive relationships, and ensuring client satisfaction.
  • Assisting in the organization and coordination of workshops, conferences, and other project-related events.
  • Managing project-related communications, including email correspondence and documentation.
  • Support in the business development process by compiling and organizing required documents and credentials for tender submissions and contract bids.
  • Formatting resumes, CVs, and other documents for client proposals and presentations.
  1. Project coordination
  • Assisting in the coordination of projects, ensuring effective communication and collaboration among team members, clients, and stakeholders.
  • Monitoring project timelines, milestones, and deliverables.
  • Coordinating project meetings, preparing agendas, and documenting minutes.
  • Supporting project documentation, including maintaining project files and databases.
  • Assisting in the preparation of project reports, presentations, and proposals.
  • Supporting in the preparation of project budgets and financial reports.
  • Tracking project expenses against budget allocations and flagging any discrepancies.
  1. Human resources support
  • Managing Raagsan's human resources records.
  • Assisting in the onboarding process for field researchers.
  • Coordinating training and development activities for the consulting team

Experiences and Qualifications

  1. QUALIFICATIONS AND EXPERIENCE

The Administrative Intern should possess the following qualifications and experience

  • Bachelor's degree in business administration, finance, accounting, or a project management related field.
  • At least 1 year of experience in, administration, financial management or project support, including contracting and client management.
  • Excellent English proficiency, both spoken and written skills.
  • Strong organizational and time management skills.
  • Effective communication and interpersonal abilities.
  • Proficiency in Microsoft Office, particularly Excel and Word.
  1. REPORTING

The Administrative Intern will report to the Finance Officer and Business Development Coordinator.

  1. WORKING CONDITIONS
  • Some tasks may require working long hours, including evenings and weekends.
  • Work may involve remote locations with limited modern infrastructure.
