Job Description

DRC Somalia/Land

DRC has been operating in Somalia since 1998 using the protection of human rights framework. Somalia is experiencing a devastating humanitarian crisis, with nearly 80% of the population in need of some form of humanitarian assistance. DRC in Somalia is scaling up the operation in emergency response through an integrated approach accessing hard to reach populations

Overall purpose of the role: (1-2 sentences)

The post holder is responsible for providing human resource and administrative support to the DRC area office. S/he is responsible for running of day-to-day HR & Administrative activities in area Office.

Responsibilities: (in bullet points)

Human Resources:

  • Ensure DRC’s HR policies & procedures are applied and compliant at all times.
  • Supports all phases of the recruitment process.
  • Ensure proper tracking of staff leave with close coordination with HR & Admin Team Leader and Area Manager.
  • Draft extensions and new staff contracts (along with the required attachment) in timely manner.
  • Ensure DRC ID cards are issued to new staff on the first working day.
  • Ensure all staff personal files are updated according to the DRC’s checklist on constant basis.  
  • Support staff development activities including promoting the DRC Learning catalogue 
  • Serve as the liaison on national staff insurance issues.
  • Ensure exit procedures are made for all staff in coordination with other required departments.

Administration:

  • Assist administrative functions internally and externally - suppliers, hotels, etc
  • Assist visitor gate pass in liaison with area safety team – as required.
  • Assist that DRC office equipment (power, telephone, water etc) and are in good condition including necessary repairs and maintenance.  
  • Assist processing required documents and payments of office monthly utilities including updating the monthly invoice tracking sheets on regular basis.
  • Facilitating SMT documents approvals for BHB area by establishing and maintaining filing system including proper labelling
  • Manage office kitchen and admin supplies
  • Organize and provide support to workshops and meetings
  • Assist issuing DRC ID cards and insurance cards to new employees.
  • Raise PR (Purchase Requisition) on DRC Dynamics – as required

Experiences and Qualifications

  • Minimum of 1 to 2 years of relevant work experience in similar field with L/INGO or UN.
  • Advanced proficiency skills in MS Word applications
  • Experience in training and capacity building of national staff
  • Well-developed organizational and planning skills in order to meet deadlines with limited supervision.

Education: (include certificates, licenses etc.)

  • Degree in Business Administration/Public Administration or equivalent professional qualification.

Conditions

Contract: 3 months with the possibility of extension, subject to funding and performance. Salary and other conditions are offered by DRC’s Terms of Employment for National Staff; Employment band None Management I2.

Availability:       1st October 2024

Duty station:      This position is based in Mogadishu
