SOS Children’s Villages invite applications from suitably qualified and interested candidates who fulfill the eligibility criterion for the below position.

Position title    :           Admin Assistant Intern

Reporting to    :           Executive Associate

Duration          :           4 months (Maternity cover)

Location          :           NO-Mogadishu

Job summary:

The Admin Assistant Intern is responsible for The Office Admin Assistant provides administrative and clerical support to ensure the efficient operation of the office. This role involves multitasking across various administrative tasks, Guests house, maintaining office systems, and supporting team members to enhance overall organizational effectiveness.

Job Responsibilities:

Office Administration

Ø  Provide administrative support to ensure efficient operation of the office.

Ø  Monitor office supplies and place orders when necessary.

Ø   Coordinate maintenance and repair of office equipment.

Ø  Manage office communications, including phone calls, emails, and visitors.

Ø  Ensure the office environment is clean, organized, and functional always.

Ø  Maintain office filing systems (physical and electronic) and ensure documentation is accurate and up to date.

Ø  Manage and organize schedules, Meeting Hall booking, appointments, and meetings.

Documentation & Record-Keeping

Ø  Prepare reports, presentations, and documents as needed.

Ø  Keep accurate and up-to-date records of team activities and Adminstaraion documents.

Coordination & Communication

Ø  Handle inquiries, provide necessary information, and redirect as needed.

Ø  Coordinate travel arrangements and accommodations for staff.

Ø  Ticket booking for all staff when it required.

Ø  Accommodation booking for both Guesthouse and Hotel.

Ø  Arranging Airport pick/drop off for international staff and National Director.

Guesthouse Management

Ø  Oversee the day-to-day operations of the guesthouse to ensure a welcoming and professional environment for guests.

Ø  Coordinate room bookings, check-ins, and check-outs for guests, including maintaining an updated schedule.

Ø  Ensure rooms and shared spaces are cleaned, well-maintained, and equipped with necessary amenities.

Ø  Supervise housekeeping staff and monitor their performance.

Ø  Prepare Guesthouse documentation and information for guests upon arrival.

Ø  Respond promptly to guest requests, concerns, or complaints to ensure satisfaction

Ø  Coordinate guests’ food to be ready on time.

Ø  Filling guests house documentation.

Support for Team Members

Ø  Assist in organizing team events, training sessions, and workshops.

Ø  Support other departments with administrative tasks as needed.

Compliance and Policies

Ø  Ensure compliance with company policies and procedures in all administrative tasks.

Ø  Adhere to health, safety, and data protection regulations within the office.

Experiences and Qualifications

Ø  Diploma or bachelor’s degree in business administration or a related field is preferred.

Ø  Relevant one year’s experience as an administrative assistant, office assistant, or a similar role.

Ø  Experience in managing office equipment and supplies.

Ø  Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Ø  Knowledge of office management systems and procedures.

Ø  Strong organizational and time-management skills.

Ø  Excellent verbal and written communication skills.

Ø  Ability to work independently and as part of a team.

Ø  High level of attention to detail and problem-solving skills.

Ø  Proficiency in English and Somalia (written and spoken)
